SportCity transforms to a data-driven organization

With the ambition to realize “more sports in your city” throughout the Netherlands, SportCity has more than 115 locations throughout the Netherlands. However, SportCity’s data environment was not yet sufficiently in order to realize this growth ambition. With the Intelligenthive®, we modernized the data platform, professionalized data management and made SportCity move to data-driven working. This accelerated the delivery of crucial information to drive and develop the organization during its growth phase.

Challenges

As a leading fitness chain, SportCity faced a major challenge; data silos and manual processes limited its ability to make informed and timely decisions. When Yulia Yukhimenko started as Head of Business Performance at SportCity five years ago, information systems were outdated and relied on labor-intensive manual data processing for analysis and decision-making.

Key business processes such as payroll, timekeeping and membership management were inefficient, making it difficult to gain actionable insights. In addition, departments interpreted data differently, leading to inconsistencies in defining and measuring key metrics such as member engagement.

With plans for growth and an ambition to empower club managers to operate as entrepreneurs, it became clear that a data transformation was essential. The company needed a modern platform to consolidate data, ensure consistency and enable better decision-making.

Approach and solution

In partnership with Beeminds, SportCity modernized its data infrastructure by implementing the Intelligenthive® Data-as-a-Service platform.. This approach offered scalability and freed SportCity from the maintenance of physical servers, which was important for an organization without an IT focus. The collaboration focused on results rather than technical complexity. Beeminds translated business needs into data solutions, allowing SportCity to focus on leveraging insights without having to deal with technical details.

The transformation process involved a range of activities including implementing system upgrades, rolling out the Intelligenthive service, data integration, data modeling and dashboard development. Power BI dashboards now provide management and club managers with daily insights and an overview of KPIs, member information and business performance at both the macro and club levels.

Data quality is prerequisite for optimal service to members

Introducing mandatory fields and validation checks, such as zip codes in the correct format and email verification, prevented inconsistent or incomplete data. In addition, this prevented duplicate member records, allowing the organization to better track member loyalty and life cycle. These measures resulted in cleaner and more reliable data as a basis for decision-making.

Future plans

Ambitions with data remain high, according to Yulia. “SportCity is leveraging this foundation to realize advanced data initiatives, including predictive analytics and deployment of real-time data. For example, we are exploring application of Generative AI within our member feedback to continuously improve services. We also plan to integrate more data sources, such as energy consumption and marketing performance, to further deepen and improve insights for management and club managers.”

Results

The implementation of the Intelligenthive® platform provided SportCity with the following concrete benefits:

  • Streamlined decision-making. Management now starts their day with an operational dashboard that consolidates key performance indicators (KPIs) from across the organization, eliminating the need to manually collect and combine data.
  • Strengthening club managers. Club managers have access to actionable data about their members, staff and operations. This allows them to optimize staff scheduling, improve member experiences and better manage their venues.
  • Improved data quality. Thanks to validation rules, mandatory fields and the prevention of duplication, the data is cleaner and more reliable. For example, SportCity can track a member’s history even if they return after years, providing better insight into loyalty and customer value.
  • Higher efficiency. Tasks that previously required hours of manual effort, such as creating reports and combining data from multiple sources, are now performed automatically and daily.
  • Proactive monitoring. Any delays or problems in data processing are automatically identified and resolved by Beeminds, ensuring uninterrupted service.

Lessons learned

To Yulia the question of what she advises organizations embarking on a similar data journey? “Garbage in, garbage out,” she stresses, and she recommends that companies prioritize data quality from the start and thoroughly clean data before implementing new systems. For SportCity, this meant enforcing validation rules and designing processes that prevent data duplication. She also stresses the importance of acting fast: “Don’t wait; go for it and start using your data to make informed decisions.”
