Not waiting until a customer discovers something is wrong, but actively watching and intervening when necessary.

“If something goes wrong in a pipeline, we pick it up. So customers rarely have to raise the alarm themselves. “If a pipeline goes wrong, we receive a ticket. This states which pipeline it is, what the error message is, which environment it concerns and which layer the problem is in. We work with bronze, silver and gold. This allows you to quickly see where in the process something is going wrong.” Sometimes the cause is immediately obvious. Sometimes it requires more investigation. “Sometimes I can see from the error message what is going on. And sometimes I go into the customer’s environment to find out where the problem is. If I can fix it, I do. And if it takes a colleague who knows more about that project, I involve them.”

Example 1: A pipeline crashes

A common report is about a data stream that is not running properly. For example, because a source is not being read properly, a step in the process is failing or a processing operation is not arriving in the correct layer. “For the customer, it is especially important that such a problem does not remain unresolved. We see the report, figure out what is going wrong and make sure it is taken care of.” This prevents users from discovering only later that a dashboard has not been updated or that a report is running on outdated data.

Example 2: Data quality is not correct

Managed services is not just about technical errors. Data quality also plays a role. “Suppose there are duplicate lines in the data. Then those lines can be automatically quarantined so the process can continue. But you then have to figure out why those lines are duplicate. “Beeminds does that investigation as part of its managed services. Sometimes something turns out to be wrong with a key. Sometimes it’s about a few exceptions. And sometimes the client needs to look into the content. “If it’s a lot of rules, there’s probably something really wrong with the key. If it’s two lines, it could be something else. Then we discuss with the customer what is going on and whether they recognize this.”
Customers can also set their own data quality rules. For example, when a certain value must stay within an expected range or grow logically.

Example 3: Capacity of Microsoft Fabric

Microsoft Fabric capacity is also part of management. If the environment is under heavy load, you want to see that in a timely manner. “If the capacity threatens to fill up, we can look at whether processes need to be set up differently. Or we can scale up temporarily so the environment remains usable. “This is important for customers because a full or heavily loaded environment can affect processes, reporting and user experience.

“A notification alone is not enough”

According to Jelmer, the value of managed services is not in forwarding notifications. A customer doesn’t just want to know that something went wrong. A customer wants it fixed. “What you often see with Managed Services is that a notification goes to the customer: something has gone wrong. But that’s not much use to you as a customer. You’d rather have it resolved.” That’s why Beeminds works proactively on the recovery.

“We solve things for customers without them having to chase it themselves all the time. In an ideal situation, someone opens a report in the morning and it just works. Chances are then that we have already seen and fixed something before that.”

Jelmer Langbroek

Managed Services Engineer at Beeminds

Which customers is Managed Services intended for?

Managed Services suits different types of organizations. Some clients don’t have their own data engineers. Other clients, on the other hand, have a mature data team, but don’t want to manage everything themselves. “Some organizations have in-house data engineers. Then they can manage certain data streams themselves. Other organizations don’t have those people, or not full-time. Then we can take over more of the management.”

That’s why Beeminds has different forms of managed services.

With Fully Managed, Beeminds manages the Intelligenthive® and the entire Fabric environment. If something goes wrong there, Beeminds takes care of it.

With Supported , you are supported and Beeminds manages the Intelligenthive® and the components around it. The customer can then, for example, remain responsible for the data streams, if there is internal knowledge to do so. Beeminds is available on demand.

“The Intellgenthive®, the UI and everything around it are always managed. For the data streams, it depends on the agreements and what the customer can and wants to do themselves.”

Why does the established Beeminds methodology help?

An important advantage is that Beeminds builds environments according to fixed principles. This makes management clearer and faster. “For me as a Managed Services Engineer, it’s nice that the same principles come back with every customer. I don’t have to figure out how everything is set up with every new customer.”

Jelmer cites the Medallion Architecture with bronze-silver-gold as an example. The way metadata is captured also helps with management. “We store information about sources and layers in a CDM. (Common Data Model). As a result, every customer can see how the environment is structured. That structure helps us see what’s going on faster.”

This is not only convenient for Jelmer himself. It also makes it easier for colleagues to watch along or jump in temporarily. “Because everything is structured in a recognizable way, colleagues can help more quickly if needed.”

Fabric knowledge remains part of service delivery

Microsoft Fabric is developing rapidly. For many organizations it is still relatively new. Beeminds follows that development and incorporates new possibilities where relevant in the Intelligenthive® and services. “We follow the developments around Fabric. As a customer, you don’t have to continuously dive deep into that yourself.” That makes Managed Services not only a technical management arrangement, but also a way to keep knowledge close by.

More than technology: strategic partnership and service management

Managed services at Beeminds goes beyond technical management. A well-running data platform is the basis, but the value is only really created when you use data properly in the organization. That is why every customer has a fixed service manager as a personal contact. He or she monitors the status of the service, sees trends and signals, thinks about improvements and is available for questions or challenges.

In this way, Beeminds not only looks at what needs to keep running technically well today, but also at what can be improved tomorrow. Does the data platform still fit the goals of the organization? Where are opportunities to get more out of data? And which steps will help to grow further in data maturity?

It is precisely the combination of technical knowledge, personal contact and strategic thinking that makes the difference between a platform that runs and one that really contributes.

What should you remember?

Managed Services at Beeminds means that customers not only get a data platform, but also support in its day-to-day management. Beeminds monitors notifications, investigates errors, resolves problems and ensures that the Intelligenthive® and, where agreed, the wider Fabric environment remain running smoothly.

Or as Jelmer sums it up:

“When you open your report in the morning, it should just work. That’s what we do it for.”

Jelmer Langbroek

Managed Services Engineer at Beeminds

A data platform is not “finished” once it is live.
